Logistics Assistant - Driver

The Logistics Assistant – Driver will provide logistics services in the organization by conveying materials, equipment, and staff when required. The job holder is also responsible for the cleanliness and maintenance of a designated vehicle to ensure effective and efficient service delivery. 

Principal Duties and Responsibilities

Chauffeur Services

  • Chauffer staff members and visitors as instructed by ensuring timely staff transfers to meetings or the airport without delays while maintaining the safety of passengers. Maintain safety in compliance with all traffic and related regulations.
  • Keep abreast of traffic situations, consult maps or navigation devices for desired routes, and check radio or online traffic and weather reports for departure and destination locations.
  • Advise passenger of potential or existing adverse conditions and suggest alternative routes or travel time adjustments
  • Promptly report delays due to breakdowns or traffic conditions or other emergencies in the event of irregularities relating to pickups or and delivery as well as accidents and incidents that have occurred.
  • Collect and deliver mail, parcels and packages from and to the post office, offices, government agencies and other institutions, maintaining delivery records as required.

Vehicle Records Management

  • Maintain an updated written travel log containing mileage, locations, travel time, work hours, vehicle service entries and receipts; Ensure accuracy of the office vehicle logbook;
  • Following up with the supervisor before the expiry of insurance certificates of company vehicles to ensure they are renewed on time;
  • Account for expenditure - acquire, retain and submit all receipts. Ensure that expenditures are authorized and submitted with agreed timelines.

Vehicle Maintenance

  • Keep company cars well maintained, clean and in good working condition by inspecting cars for defects and safe operating condition before, during and after trips and report any mechanical defects noted;
  • Regularly check engine fluids, inspect the interior and exterior electrical and mechanical components, maintain tire pressure and keep fuel levels at adequate levels.
  • When mechanical work, scheduled maintenance, professional washing and detail work is needed, make service appointments, and facilitate vehicle transport to and from the facility. Confirm works have been undertaken to SFA Foundation's standards before signing off paperwork.

Logistical Operations

  • Support all logistical functions, including but not limited to; procurement, import/clearance, storage, transport, warehousing and distribution of commodities.
  • Receiving and unpacking parcels, equipment, furniture, branding materials etc from time to time
  • Monitor the contract follow up tracker and prompt renewal of expiring VISAs
  • Issue and file stock reception forms upon reception of materials and dispatch to requesting teams/departments
  • Support regular inventory of the stock.
  • Support the periodic inventories and clear stock discrepancies in a documented manner;
  • Support assets review, and physical inventories;
  • Raising requisitions of small values as related to motor vehicle spending as well as other administrative expenses
  • Assisting the finance team with small-value bank transactions as well as bank-related dispatches.
  • Facilitate errands as pertains to operations and facility management and maintenance
  • Assist in clerical responsibilities as may be required from time to time
  • Other related duties as may be necessary from time to time

Academic Qualifications

  • Secondary Level Certificate
  • Professional Qualifications
  • Certificate in driving – Grade B/C/E
  • Passed the Occupational Trade Test III for Drivers;
  • First Aid Certificate from a reputable institution

Experience and Knowledge

  • A minimum of 5 years city, long-distance and off-road driving experience gained in an international organization
  • Defensive driving and basic mechanic skills;
