1.0 Purpose

To provide guidance for management of requests for grant extensions with additional costs.

2.0 Policy Statement

The Science for Africa (SFA) Foundation will only consider requests for grant extensions involving additional costs when all of these three conditions are fulfilled:- 

1. The end of the project period is approaching;
2. There is a programmatic need to continue the research;
3. There are funds within SFA Foundation to cover the extended effort.

3.0 Grantee Obligations

1. Grant extension requests involving additional costs should be made at least four (4) months prior to the current end date of the grant to allow time for SFA Foundation to seek expert opinions on the proposal. 
2. The grantee must provide:

• The reasons for requiring an extension, including a summary of work carried out to date and details of proposed future work;
• Confirmation of the period of extension sought and the proposed revised end date;
• Financial details including the actual spent-to-date and budget requested.

Overall, SFA Foundation approved extensions involving additional costs will not exceed 1 ½ years.
